AI assistant
Build and edit forms with the Assistant, draft replies, summarise answers and control what the AI sees.
Assistant in the builder
In Build, choose Ask to open the Assistant panel. Type a question or describe a change, for example "make the phone number optional".
- Changes appear as a change card with Apply, Discard and Undo. Nothing changes until you apply it.
- After applying, choose Publish to make it live.
- Admins can ask for changes. Members can only ask questions.
- Match my brand reads a logo or flyer (PNG, JPG or WebP) for colours and style only. The file is deleted when the request ends.
- New chat, Clear chat and Earlier chats are in the panel. Clearing cannot be undone.
The Assistant cannot add payment details yet. It only answers questions when the organisation is locked or read-only, when the form cannot be edited, or when you are not on the Build tab.
Each ask uses one of your AI uses for the month. When they run out, the panel says No AI uses left and when it resets, with a link to the plans.
Make my form from a description or a photo
When you start a new form, choose Make my form. Describe your form or take a photo of your paper form.
Example: a booking form for a bakery with name, phone number, cake flavour and a pick-up date.
- Write up to 2000 characters.
- Add up to 3 photos, as JPEG, PNG or WebP.
- Photos are shrunk in your browser first, and the server deletes them after the build.
- It can take up to half a minute.
- For now it works in English only.
The AI drafts the form for you to check and change. Nothing is published until you say so.
Draft a reply
Open a response and choose Draft a reply. You get a Subject, a Message and a WhatsApp number to edit.
SharpForm sends nothing. Your mail app or WhatsApp opens with your edited text, and you press send.
Draft again replaces what you changed.
Reply notes
On the Share tab, Reply notes holds facts the AI may use, such as opening hours. People filling in the form do not see them. An admin can change them in the form settings.
Summarise and ask your responses
These need Pro or higher, AI turned on, and the setting Let AI summarise written answers.
Ask your responses
Ask a question about your responses, such as how many came in this week, who has not responded, or an average. The numbers come from your data, not from the AI. A question like how many chose each option never sends answers to the AI. Only your question and the names of the questions and choices go.
Summarise
Summarise reads the newest 200 answers to one question and ignores page filters. The result shows Saved summary from, with a date.
Emails, phone and ID numbers are hidden before the AI reads the answers.
What the AI sees
- The Assistant sees your form's questions and settings, your brand colours and fonts, and your chat. It never sees your responses. Chat history is kept for 30 days so you can undo a change, then deleted.
- Make my form sees the description or photos you give.
- Draft a reply also sees the form title, question labels, the answers, the organisation and sender name, and the form's reply notes. ID numbers, files, signatures and sensitive fields are not sent. Email, phone and address answers are not sent.
- Summarise does not send ID numbers, signatures, files, sensitive fields, or email and phone answers. Emails, phone numbers and ID numbers typed inside written answers are hidden before sending. Names written in an answer are not hidden.
AI is processed by OpenRouter and its model hosts abroad. It is not kept. AI never publishes a form or sends a message. A person checks every draft.
Turning AI on or off
- Open Settings, then Privacy, and find the AI panel.
- Use the switch Use AI features for this organisation. It is on by default.
- Only the organisation owner can change it.
When it is off, the Assistant says it is turned off. Members see that an organisation owner can turn it on.
A second switch, Let AI summarise written answers, needs AI on and a plan that includes it (Pro and up).
